At Arc Hospitality Recruitment, we’re one of the few temporary staffing agencies with a dedicated Head of Systems & Transformation - a role we created because we understand how essential technology is to future-proofing our business and delivering a better experience for clients, team members, and our core team.

In this post, Angela Adams, Head of Systems & Transformation shares her expertise and best practices to support others who are navigating similar challenges and looking to introduce tech with confidence.

Choosing new technology should always start with purpose. This means fully researching potential solutions, defining the exact problem you’re trying to solve, and understanding where current processes fall short.

Thorough budgeting ensures a tool delivers clear value without introducing unexpected costs or unnecessary complexity. And while it can be tempting to follow trends or adopt platforms that look impressive, the strongest decisions come from confidently saying no to anything that doesn’t align with business goals. By selecting technology intentionally, businesses partner with tools that genuinely improve operations and support long-term growth.

Technology can fundamentally reshape how a business operates, but its real impact comes when it’s used with purpose. AI, for example, can be a powerful partner when applied thoughtfully. Rather than using it for the novelty, the focus should be on how it enhances decision-making, speeds up access to information, improves consistency, and supports developing employees’ knowledge. When introduced with clear intent, AI strengthens processes, improves insight through data analysis, and gives teams the clarity and confidence they need to thrive.

Alongside AI, automation plays a crucial role in unlocking efficiency. Removing manual, repetitive tasks prevents teams from being overwhelmed by administrative work and allows them to focus on higher-value responsibilities. For event and hospitality staffing especially, automation in areas like onboarding, reporting, compliance, and scheduling can significantly increase operational speed and accuracy. Seamlessly integrating systems is just as important.

When platforms communicate effectively, data moves effortlessly, duplication disappears, and teams operate from a single source of truth. The result is a more agile business where people spend more time on meaningful work and less time navigating disconnected tools.

Introducing new technology is most effective when teams are informed, supported, and involved from the start. Clear communication about what’s changing, why it matters, and how it will benefit them helps reduce uncertainty and build confidence. Different teams learn in different ways, so training should reflect a mix of approaches such as hands-on sessions, visual walkthroughs, written guides, and team support.

Agile change is also essential; successful implementation is an ongoing process. Acting on feedback throughout the project, making small iterative improvements, and openly addressing challenges ensures solutions evolve in a way that genuinely supports the teams using them. By giving teams space to learn, responding quickly to their input, and adapting as you go, businesses can introduce new tools smoothly and create a culture where technology feels empowering rather than disruptive.
